List the complete monthly cost, divide it by the number of active members, set a transparent funding goal and collect voluntary contributions through one reusable page. Keep donations separate from paid perks unless you have checked Bohemia Interactive's current monetization rules.
This guide gives unit leaders a practical cost worksheet, a fair per-member calculation and a Discord announcement template. It does not recommend a particular host: the right server depends on player count, mods, mission complexity, location and how much administration your team wants to handle.
How Much Does an Arma 3 Server Cost?
There is no honest universal monthly price. Community examples range from inexpensive small instances to dedicated machines costing substantially more. Hosting quotes also change with player slots, processor priority, storage, backups, DDoS protection and support.
Bohemia Interactive's official dedicated-server documentation says the server package itself is free and lists 2.4 GHz dual-core, 2 GB RAM and 32 GB storage as minimum hardware. Use expected contributors, not the total number in Discord. A unit with 70 accounts may have only 20 regular participants. Recalculate after two or three months using actual participation, and keep the contribution voluntary if you describe it as a donation.
Donations and Monetization Are Not the Same
Bohemia Interactive's Arma 3 support guidance states that voluntary donations without a counter-value are generally different from monetizing a server. Selling access, reserved slots, in-game benefits, advertising or other consideration may fall under separate monetization rules and approval requirements.
Use this practical distinction:
- Voluntary contribution: a member helps cover shared costs and receives no purchased advantage or guaranteed service in return.
- Paid perk or access: the payment unlocks a slot, item, rank, priority, service or other benefit.
- Commercial sponsorship: a business pays for promotion, placement or access to the community.
Rules can change and individual mods may have their own licenses. Check Bohemia's current terms and the licenses for every material mod before attaching benefits to payments. Do not call a required fee a donation.
Create a Transparent Unit Funding Page
The simplest flow is one public page dedicated to the monthly server goal:
- Add the real monthly target and describe what it covers.
- Let members choose an amount unless the unit has agreed on fixed cost sharing.
- Connect the payment provider owned by the responsible unit administrator or legal entity.
- Show progress without publishing donor names by default.
- Share the same page in Discord, the unit website and operation reminders.
- Post a short monthly reconciliation showing the total collected and the expenses paid.

Pin the message in one finance or announcements channel. Repeatedly posting the link across every channel feels like pressure and makes the funding process harder to audit.
Keep the Fund Accountable
Choose one accountable owner and one backup reviewer. Each month, record the opening balance, contributions received, provider and platform fees, bills paid and closing reserve. Share totals with members, but do not expose email addresses, payment references or other personal payment data.
If the goal is exceeded, decide in advance whether the surplus rolls into next month, funds a specific upgrade or is returned where practical. If the unit closes, publish how the remaining balance will be handled. Clear rules create more trust than an unexplained donation button.
