A freelancer can use a PayPal invoice that allows partial payments to collect a project deposit and leave the balance on the same invoice. The safe workflow is to define the total scope first, set the minimum deposit, start work only after the transaction is confirmed and reconcile every milestone against the invoice's remaining balance.

This article is for freelancers billing one agreed project in stages. Its original asset is a deposit-to-delivery ledger that prevents “partially paid” from being confused with permission to deliver the complete final work.

Decide Between One Partial Invoice and Separate Invoices

Use one partial invoice only when the total is known and all payments belong to the same scope. If later work is optional or not yet priced, separate invoices make the obligation clearer.

PayPal's current Invoicing API definition includes an option to allow partial payment and a minimum amount. Availability and the exact interface can vary by account and country, so confirm the setting in your own invoice preview.

Build the Deposit-to-Delivery Ledger

For a €1,500 design project, the agreed schedule might be €450 deposit, €600 after concept approval and €450 before final editable files.

StateCumulative paidWork allowedEvidence to retain
Invoice sent€0None beyond agreed proposalScope, terms and invoice ID
Deposit confirmed€450Discovery and first conceptsPayPal transaction and timestamp
Milestone confirmed€1,050Approved revision stageDated client approval and payment
Paid in full€1,500Release final source packageFinal transaction and delivery record

Record invoice ID, project version, expected installment, transaction ID, confirmed amount, cumulative paid, remaining balance, approval state and next deliverable. Keep tax treatment and invoice numbering consistent with your jurisdiction and accounting process.

Do Not Treat Every PayPal Message as Payment

Open PayPal independently and verify the invoice and transaction in the seller account. Match payer, currency, gross amount, status and invoice ID. Do not trust an emailed screenshot, forwarded receipt or link supplied by the customer.

“Partially paid” describes the invoice balance; it does not decide which deliverable is due. Your signed scope and ledger do that. A pending, reversed or disputed transaction needs its own handling before more value is released.

Freeze Scope at Each Payment Boundary

Before the deposit, attach the proposal or describe the deliverables, revision allowance, exclusions, dates, cancellation rule and ownership transfer. At each milestone, ask for dated approval of the named version. Put additional work through a written change order rather than hiding it inside the unpaid balance.

For digital work, provide review previews appropriate to the job and release editable source or production files only at the agreed paid state. This is an operational safeguard, not a substitute for a contract or local professional advice.

Reconcile Changes, Refunds and Overpayments

If the scope decreases, document a credit or corrected invoice rather than pretending the original total never existed. If the client pays the wrong installment, record the actual cumulative amount and agree the next balance in writing. Process refunds against the correct transaction and preserve the adjustment trail.

PayPal publishes current guidance for service invoices, payment terms and partial payments. Review the current product documentation and fees for your country before invoicing; provider features and charges can change.

Add PayPal to a Broader Client Billing Workflow

Use PayRequest invoicing when you need the invoice, customer, project history and provider choice in one billing workflow, and connect PayPal as a payment provider where it is supported for your account. For a standardized standalone deposit, compare a payment link with an invoice.

Start with one test client record and rehearse deposit, milestone, final payment, refund and disputed-payment states before using the workflow for a live project.

Frequently Asked Questions

Can a PayPal invoice accept a deposit and later balance payment?

PayPal Invoicing supports an allow-partial-payment setting and a minimum amount in eligible workflows. Confirm availability in your account and state the project schedule separately.

Should a freelancer use one invoice or separate milestone invoices?

Use one partial-payment invoice for one fixed total and scope. Use separate invoices when milestones are independently accepted, optional or priced later.

When should final files be delivered?

Deliver them at the paid state defined in the agreed scope, usually after the final transaction is confirmed. An invoice marked partially paid does not by itself authorize final delivery.
