ProGear publicly describes a card pre-authorization of about 75% of equipment value as one route, with an established insured account as another. That is one operator's policy, not an industry rule. Verify Without Collecting Excess Data

Collect only what your legitimate rental, fraud and insurance process requires. Depending on local rules and risk, that may include identity, billing address, contact details, production company, destination and insurance certificate.

Do not store complete card details or security codes. Use a hosted card-authorization page. Define retention periods for ID and insurance documents, restrict staff access and provide the required privacy notice.

The Camera-Kit Handover Record

For each case, record:

  • make-independent item description and internal asset ID;
  • serial number for every body, lens, recorder and powered unit;
  • included batteries, chargers, caps, plates, cables and media;
  • shutter or operating count where relevant;

  6. Calculate proportionately. Use a repair quote, replacement evidence and the item's existing age or wear.
  7. Release or capture. Act before the authorization deadline and notify the renter.

Do not charge the new retail price automatically when a repair restores the item. Conversely, do not clean or send gear to the next customer before documenting a real issue.

Hold Duration and Long Productions

A short authorization works best when the gear returns and can be inspected before expiry. For a long production, do not assume a “28-day” product setting guarantees that every bank will maintain the authorization for 28 days. Provider, card-network, merchant-category and issuer rules control the actual window.

For longer hires, decide before dispatch whether to re-authorize, charge and later refund, require insurance, or use approved account terms. Never discover the plan after the original authorization has expired.
