A rental security deposit can reduce your available balance without becoming a completed charge. It is usually a card authorization: the operator reserves an amount, then releases it after the car, room, holiday home or equipment is returned and checked.

The confusing part is that “released” does not mean “visible immediately.” The operator, payment provider, card network and cardholder's bank each control a different step.

Hold, Charge and Refund Are Different

Card statusDid money settle to the operator? What happens next?
Authorization hold / pendingNoReleased, expires or is captured
Captured charge / completedYesRemains unless refunded or disputed
Reversed authorizationNoBank restores available balance
RefundThe earlier charge didA new credit travels through the network

A credit-card hold reduces available credit. A debit authorization may reduce spendable bank balance and feel like a withdrawal. Check whether the transaction is pending or completed before asking for a “refund.”

The Five-Step Deposit Timeline

  1. Authorization: the operator requests approval for a fixed amount.
  2. Rental: the reserved amount is unavailable to spend.
  3. Inspection: damage, missing items, fuel, cleaning or late return are checked.
  4. Release or capture: the operator cancels the hold or converts an allowed amount into a charge.
  5. Bank processing: the issuing bank updates the balance or posts a refund.

The operator's release confirmation proves it sent the instruction; it cannot guarantee when the customer's banking app updates.

How Long Does a Rental Deposit Take to Return?

There is no universal European deadline for every authorization. Published policies illustrate the variation: SIXT says it releases a credit-card hold within 24 business hours after return, while a bank may need 3–10 business days to display it. Getaround describes release seven working days after a rental when no incident is reported. These are company examples, not universal rules.

Time since returnAction
Same daySave the return report and confirm whether the card entry is pending
After the operator's inspection windowRequest written release confirmation
After the bank's processing windowGive the bank the amount, date and authorization reference
If converted to a chargeRequest the reason, clause and itemized evidence

Weekends, bank holidays, debit processing, incident reviews and authorization extensions can increase the visible wait.

Why a Hold May Still Be Pending

  • The return is not closed in the rental system
  • An after-hours return still needs inspection
  • Damage, fuel, minibar, cleaning, tolls or missing equipment is under review
  • The operator released it but the bank has not updated the balance
  • The authorization was extended or replaced
  • A debit transaction was captured and now needs a refund

Ask one diagnostic question: “Is this still an authorization, has it been reversed, or was it captured?” This prevents the operator and bank discussing different transactions.

Evidence Renters Should Keep

Save the booking, agreement, deposit amount and policy, pickup/check-in record, return photographs, checkout report and release messages. Never email a complete card number. If released, request the release date and authorization reference so the bank can trace it.

What Operators Should Explain

Display the deposit separately from the rental price and state:

  • Exact amount and currency
  • That it is a hold, not an immediate charge
  • Expected authorization and inspection period
  • Reasons permitting partial or full capture
  • Who to contact if balance does not return

After return, communicate one clear status: released, partially captured with evidence, or temporarily held while a named issue is reviewed. Do not promise instant availability when the issuing bank controls the final display.

PayRequest lets rental and accommodation businesses create a time-limited hold, track its countdown and release or capture it from one audit trail. Explore security deposit holds, see the bike rental deposit workflow, or follow the European dispute guide.

Frequently Asked Questions

Is a rental security deposit hold a charge?

Usually not. An authorization reserves available balance without settling funds. A captured transaction is a completed charge.

Why is it pending after the company released it?

The issuing bank may need processing time. Ask for the release date and authorization reference, then give those details to the bank.

How long does a car rental deposit take to return?

It varies by operator, inspection, payment method and bank. Published examples range from release within 24 business hours to seven working days, followed by bank processing.

Can a debit-card deposit take longer?

Yes. If a debit transaction was captured instead of reversed, the operator must send a refund through a different processing flow.
