Sell an InDesign template only after the exact customer ZIP opens without missing links, exposes the intended editable areas and produces the promised output. An attractive PDF preview is not proof that the INDT or INDD source is portable: fonts, linked graphics, plug-ins, color settings and InDesign versions can all change the buyer's result.

This guide is for independent designers selling editorial, proposal, portfolio or print templates. Its original asset is a three-document substitution test that joins the retail archive to a reproducible buyer result.

Define the Editable Promise

List what the buyer can change and what is deliberately fixed. Name the tested InDesign version, page sizes, bleed, color mode, paragraph and object styles, parent pages, linked assets, required fonts, scripts or plug-ins and the included output examples.

DeliverablePurposeBuyer test
INDTOpens as a fresh untitled documentOriginal template remains unchanged
INDDReference source when explicitly includedOpens in the named InDesign version
IDMLCompatibility handoff, when testedOpens and survives visual comparison
Preview PDFShows the intended resultIs clearly labelled as a preview, not editable source
START-HERE PDFInstallation, fonts, links, export and supportA new user can complete the first substitution

Do not advertise IDML as perfect backward compatibility. It can make a document openable in another version, but the buyer still needs to inspect layout, effects and text reflow.

Run the Three-Document Substitution Test

Make three buyer copies from the retail INDT: one short document, one at the advertised maximum page count and one with deliberately awkward replacement content.

TestReplacementPass condition
Text stressLong headings, short captions and multi-paragraph body copyNo hidden overset text; styles remain usable
Image stressPortrait, landscape and square imagesFrames, fitting rules and captions remain understandable
Output stressPrint PDF and one promised digital exportPage size, bleed, links, color and image quality match the listing

Use only the instructions included in the ZIP. Record the template version, InDesign version, operating system, fonts present, preflight result and exported PDF checksum. If a result requires undocumented repair, improve the template or narrow the promise.

Adobe's current InDesign packaging guidance says to resolve preflight problems before packaging and can include linked graphics, IDML and a print PDF. Use that workflow as a collection aid, not permission to redistribute every collected asset.

Audit Fonts, Links and Rights

Open the Links panel and remove missing, modified or development-only files. Replace stock previews that are not licensed for redistribution. Keep a rights record for every photograph, illustration, icon and texture shipped in the customer archive.

Font files need a separate decision. Adobe's current font-packaging guidance notes that many licenses do not permit sending font files to third parties and that Adobe Fonts files should not be copied or moved. Where redistribution is not permitted, name the font and lawful source, provide a tested fallback and show the dependency before checkout.

Package the Retail ZIP

Build a clean release folder rather than selling the working directory. A practical package contains the INDT, any explicitly included INDD/IDML files, licensed links, preview PDF, START-HERE guide, license and changelog. Exclude caches, autosaves, client material, old exports, credentials and unlicensed fonts.

Give the ZIP and release card the same version. Move it to a clean user account or second computer, extract it and repeat the three tests. Test the actual archive again after upload; a correct local folder does not prove the delivered file is correct.

Connect the Approved Archive to Checkout

Use PayRequest's digital template workflow to publish the offer and protected file delivery to release the approved ZIP after confirmed payment. The listing should repeat the tested versions, included formats, font and image dependencies, output types, license and support boundary.

Complete one provider-backed buyer order. Download from the receipt, compare the file checksum with the approved release and run the short-document substitution test once more. The template is ready when a buyer can open, replace, preflight and export it without access to your design workstation.

Frequently Asked Questions

Should an InDesign template be sold as INDT, INDD or IDML?

INDT is designed to create a fresh document from a template. Include INDD or IDML only when they serve a stated, tested compatibility need, and explain that IDML still requires visual checking.

Can I include Adobe Fonts in an InDesign template ZIP?

Do not copy font files unless their specific license permits redistribution. Name the required font and lawful source, provide a tested fallback where appropriate and disclose the dependency before checkout.

How should I test an InDesign template before selling it?

Create fresh documents from the retail INDT, substitute difficult text and images, run preflight and export every output type you advertise on a clean account or second computer.
