To sell prepaid hours as a freelancer, define a narrow type of work, publish a defensible hourly rate, offer a small number of hour blocks and collect payment before scheduling the work. The purchase reserves time—not an unlimited outcome—so your terms must explain what is included, when the hours expire and what happens when the requested work needs more time.

Prepaid hours work best for small, variable tasks that are hard to quote individually: consulting, code troubleshooting, design revisions, research, editing, bookkeeping cleanup or technical support. They are not a shortcut for selling a large undefined project without scoping it.

When Prepaid Hours Are the Right Model

Use prepaid hours when all four statements are true:

  1. The client can describe a useful starting task.
  2. You can produce value in a small block of time.
  3. The work may change as you investigate it.
  4. You are willing to stop when the purchased time is used.

Choose another model when the buyer expects a guaranteed deliverable at a fixed price, the project carries major dependencies, or the work requires a formal proposal before you can begin.

Calculate a Sustainable Public Rate

Your minimum sustainable rate is not annual income divided by every hour in the year. Freelancers also spend time on sales, administration, learning, communication and time off.

Use this transparent baseline:

Required hourly rate = (target annual pay + annual business costs + reserve) ÷ realistic annual billable hours

Worked example:

AssumptionAmount
Target annual pay before personal tax€60,000
Software, insurance and business costs€12,000
Contingency and reinvestment reserve€8,000
Total revenue requirement€80,000
Realistic billable hours1,000
Baseline hourly rate€80

This is an example, not a universal recommendation. Tax, insurance, pension and business costs vary by country and situation. Calculate your own baseline with the free freelance rate calculator, then consider market fit, specialization and the value of the work.

Choose Hour Blocks That Match Real Tasks

More options do not improve the offer. Start with three or four blocks whose boundaries clients can understand:

  • 1 hour: advice, review or diagnostic call;
  • 2 hours: focused audit, small revision or troubleshooting;
  • 4 hours: half-day working session or implementation block;
  • 8 hours: full-day sprint.

Set a minimum that protects your setup and communication time. If every engagement requires 30 minutes of preparation and follow-up, selling 15-minute fragments is likely to lose money even when the displayed hourly rate looks healthy.

Do not automatically discount larger blocks. A discount only makes sense when the commitment genuinely reduces sales or administration work. A four-hour block may deserve the same hourly rate—or a higher one when it requires reserving scarce continuous capacity.

Define What the Client Is Buying

The client buys access to your professional time within stated boundaries. Explain:

  • which services are eligible;
  • the smallest block available;
  • whether meetings count toward the purchased time;
  • how you track and report usage;
  • when work can begin;
  • when unused hours expire, if they do;
  • whether unused hours are refundable;
  • how extra hours are approved;
  • what is explicitly excluded.

Example offer:

> Purchase a two- or four-hour Shopify troubleshooting block. I will review the supplied issue, work through the highest-priority fixes and send a written usage summary. Calls and testing count toward the block. New theme builds, copywriting and third-party app fees are excluded. Work starts after I confirm access and scope.

Do not promise a completed result if you are selling time. Promise a clear process, priority order and handoff.

Ask for a Useful Brief Before Checkout

A payment without context creates a scheduling problem. Collect enough information to decide whether the work fits:

  • desired outcome;
  • current problem or blocker;
  • relevant URLs or tools;
  • deadline and timezone;
  • required access;
  • known constraints;
  • what has already been tried.

Avoid collecting passwords, card details or sensitive credentials in a general brief. Arrange secure access separately after accepting the engagement.

If the description reveals a much larger project, pause before starting. Explain that the prepaid block can be used for paid discovery, or offer a custom quote instead. Payment should not force either party into unsuitable work.

Prevent Scope Creep With a Stop Rule

The simplest rule is: prioritize, report and stop when the purchased time is used.

Before starting, turn the brief into an ordered task list. Work from the top. When approximately 75% of the block is used, tell the client what is complete, what remains and whether another block is likely to be useful. At the limit, stop and send the usage summary.

Example four-hour usage record:

ActivityTime
Reproduce and diagnose checkout error0.8 h
Review theme and app conflict0.7 h
Implement and test correction1.9 h
Documentation and client handoff0.6 h
Total4.0 h

This record is not surveillance. It connects the purchased time to visible work and makes the decision about additional hours concrete.

Set Scheduling and Expiry Rules

Prepayment should reserve defined access, not allow a client to demand instant availability forever. State how booking works and how far ahead you normally start.

If hours expire, choose a period that reflects why you need an expiry—capacity planning, not artificial urgency. Explain the date before checkout and send a reminder with enough time to use the balance. Consumer cancellation and refund rules can differ by jurisdiction, particularly when services begin immediately, so use terms reviewed for the countries where you sell. This article is operational guidance, not legal advice.

Prepaid Hours Versus a Retainer

A prepaid block is normally a finite purchase. A retainer is an ongoing arrangement that may reserve recurring capacity, include a service level or renew monthly.

Use prepaid blocks for occasional work and new client relationships. Move to a retainer when the same client repeatedly buys hours, needs predictable response times or wants capacity held every month. Do not call a recurring payment a retainer until the agreement explains what is reserved, used, carried over and cancelled.

The Client Workflow

A clean prepaid-hours flow has six steps:

  1. The client sees your rate, availability and eligible work.
  2. They choose an hour block and submit the task brief.
  3. They pay the calculated total.
  4. You review fit and confirm the start or meeting time.
  5. You complete the prioritized work and record usage.
  6. You send the handoff and offer another block only when it is useful.

PayRequest's Freelancer Page supports this through the Hire Me action. You set an hourly rate plus minimum and maximum hours; the client selects a block, describes the work and pays. PayRequest manages the internal checkout product without adding it to your normal public product list.

For work with an unknown final price, use a quote request instead. For a repeatable creative offer with a predictable starting price, use a commission. Matching the payment route to the work is more important than forcing every client through the same button.

Start With One Small Hire Me Offer

Begin with one service category and three hour blocks. Write the eligibility rules, test the checkout yourself and prepare a simple usage-summary template before sharing the page.

Then add Hire Me to your freelancer profile and send the link to existing clients who already request small ad hoc tasks. Create a free PayRequest account when your rate, minimum block and stop rule are ready.

Frequently Asked Questions

Can a freelancer ask clients to pay for hours upfront?

Yes. Clearly describe the eligible work, rate, hour block, scheduling, usage, expiry and refund terms before payment. Applicable consumer and cancellation rules vary by jurisdiction.

How many prepaid hours should I sell at once?

Start with small blocks tied to real tasks, such as one, two, four and eight hours. Set a minimum that covers preparation and communication, and a maximum that does not replace necessary project scoping.

Are prepaid hours the same as a retainer?

No. A prepaid block is normally a finite purchase, while a retainer is an ongoing agreement that may reserve recurring capacity, service levels or monthly availability.

What happens when a client uses all prepaid hours?

Stop at the agreed limit, send a usage summary and explain what remains. The client can buy another block or request a quote; do not continue automatically without approval.
