Choose Zoho Invoice when its hosted invoicing features and annual allowance fit your business. Choose Invoice Ninja when its client-based free limit fits, or its paid or self-hosted options meet requirements Zoho Invoice does not. Count your clients and annual invoices separately before deciding that either free offer is enough.

This comparison is for freelancers and small service businesses selecting software to bill customers and collect payment. It does not compare Zoho Books accounting, Zoho Billing subscriptions or hosting provisioning.

The free limits measure different things

Zoho Invoice's current pricing page lists a free service with up to two users, three projects and 500 invoices per year. It includes recurring invoices, payment reminders and a customer portal. Confirm the allowance shown for your organization before relying on it.

Invoice Ninja's hosted pricing lists Free for five clients with unlimited invoicing. Pro is $14/month billed monthly, with unlimited clients and invoices and automatic reminder emails. Annual Pro billing is $140; Enterprise starts at $18/month for one or two users and scales by user count. Self-hosting is a separate deployment decision.

“Five clients” does not mean five invoices. Equally, an annual invoice allowance is not a monthly allowance that refreshes every thirty days. Use the counting definitions in the actual account you plan to buy.

Two businesses, the same forty-eight invoices

This original hypothetical worksheet holds invoice volume constant while changing the customer relationship. Assume one currency, no credit notes or extra bills, one staff login and unchanged activity for a year.

WorkloadClient calculationAnnual invoice calculationCapacity result from the listed free limits
Four retainers billed monthly4 clients4 × 12 = 48Within both listed client/invoice allowances
Twenty-four one-off projects, each billed in two stages24 clients24 × 2 = 48Within Zoho's invoice allowance; exceeds Invoice Ninja Free's client cap

These are capacity checks, not a complete feature recommendation. The twenty-four-project example must also check Zoho's three-project limit if it intends to use project records and time tracking. An invoice and a project are different objects; do not assume that being able to send a bill means every project-management requirement fits.

Now increase recurring work to forty-eight clients, billed monthly: 48 × 12 = 576 invoices a year. That exceeds the listed Zoho invoice allowance and Invoice Ninja's free client cap. At that point, compare the appropriate paid product or obtain an account-specific allowance instead of trying to select a free plan by brand alone.

Copy the table and replace three inputs: distinct clients, bills per client and additional invoices. Reserve room for the activity you reasonably expect; the examples do not establish how a provider counts deleted records, credit notes or imported history.

Check collection, not only invoice creation

A recurring invoice is a scheduled bill. Automatic collection additionally needs an eligible payment method and the customer's authorization. Ask each shortlisted provider how your actual gateway and billing flow handle that distinction.

Use this acceptance checklist before committing:

  • Can the client see the correct amount, currency and due date and use your intended payment method?
  • Does an unpaid bill produce the reminders you need on the plan being considered?
  • Can a recurring payer authorize collection and understand how to cancel?
  • Can you identify failed or pending payments before continuing service?
  • Can you export the billing records you will need if you leave?

Test with permitted sandbox or demonstration data where available. This article has not executed these tests. A feature-list check narrows a shortlist; it is not proof of your gateway's end-to-end behavior.

Hosted versus self-hosted is an operating choice

For hosted software, compare the subscription and payment-provider charges with the features you actually require. A free invoice application does not make card processing free.

For Invoice Ninja self-hosting, assign a person to updates, backups, outgoing email and recovery. Ask which features and branding terms apply to that edition. Do not transplant the hosted Free plan's five-client limit—or a hosted paid-plan promise—onto a different installation without checking.

A simple original cost worksheet is hosting + email + backup services + maintenance hours × your hourly cost. If those assumed items were $8 + $2 + $3 + one hour at $40 per month, the modeled operating cost would be $53/month. This is an invented budget example, not an Invoice Ninja quote or measured administration time. Self-hosting may still be worth it for control; price the responsibility honestly.

Where does PayRequest fit?

If the core job is to send invoices and collect client payments in a hosted workflow, also evaluate PayRequest invoicing. Compare current plans against the specific reminder, customer-management and recurring-billing functions you require. Do not infer that every advanced feature belongs to the entry plan.

Verify the provider separately. PayRequest's current PayPal documentation limits that integration to payment links; invoices and subscription billing use Mollie. Sellers requiring PayPal invoice checkout should evaluate a route that actually supports it rather than treating a PayPal link and an invoice as interchangeable.

Choose the software that passes your real workload and collection requirements. Use the article CTA to create a PayRequest account and prepare one client invoice if that route fits. Complete setup and confirm the supported plan and provider before sending it. Keep historical invoices accessible and confirm payment authorizations separately if moving from another system.
