A landscaping invoice should tell the customer what was done, where and when, which materials they bought and exactly what remains to pay. Use the template below for completed garden work. Keep your internal crew-cost calculation separate from the document you send the client.

This template is for landscaping contractors moving from a completed job to payment. It supplies a copyable invoice and sending email, not a replacement for a quote, work order or locally required tax invoice format.

Copy this client-facing invoice

Download the editable plain-text landscaping invoice and email, or copy these fields into your document or invoice tool. Replace every bracketed field before sending.

INVOICE [unique invoice number]

From: [legal/business name, address, contact details and required registration/tax details]

Bill to: [customer's legal name and billing address]

Work site: [site address, if different]

Quote/work reference: [accepted quote or purchase-order reference]

Invoice date: [date]

Service dates: [dates work was supplied]

Currency: [currency]

Payment due: [agreed date]

DescriptionQuantityUnitAgreed unit priceLine amount
[Completed labour with scope and dates][quantity][crew-hour, visit or fixed job][price][quantity × price]
[Material description and specification][quantity][bag, plant, m² or other agreed unit][price][quantity × price]
[Approved additional work and approval reference][quantity][unit][price][quantity × price]

Subtotal: [amount]

Applicable tax: [basis, rate and amount as required]

Total invoice amount: [amount]

Previously paid and correctly allocated: [amount and reference, if applicable]

Amount now due: [amount reconciled with previous records]

How to pay: [verified invoice payment link or agreed bank details and reference]

Questions: [contact route and invoice reference]

Use the exact unit agreed in the quote. “Eight hours” could mean one person for eight hours or two people for four hours; label it crew-hours if that is what the client purchased. For a fixed-price job, bill the agreed job price rather than presenting your internal time estimate as an extra charge.

Example: a completed planting and mulch job

These are fictional quantities and prices in euros, not market rates, a tax recommendation or an actual customer invoice. Tax is excluded from the arithmetic and must be added or treated appropriately for the real transaction.

Completed itemCalculationAmount before tax
Bed preparation and planting, eight agreed crew-hours8 × €35€280
Mulch, six bags of the agreed specification6 × €12€72
Shrubs, four approved plants4 × €18€72
Approved additional green-waste removal1 × €45€45
Subtotal€280 + €72 + €72 + €45€469

If an earlier €150 payment has been received and is correctly allocated to this same tax-exclusive balance, the remaining amount in this simplified example is €469 − €150 = €319, before any applicable tax treatment. Keep the earlier invoice/payment reference beside the deduction.

That arithmetic is a reconciliation illustration. It does not instruct you to issue a negative line, amend an already-issued tax invoice or assume a software product automatically handles deposits. Where an earlier invoice already recognised part of the job, use the correct final-invoice treatment for your jurisdiction and accounting records. Avoid billing the same work twice.

Keep approved extras traceable

Do not hide an unapproved increase in a vague “miscellaneous” line. Keep this small register beside your work record, then include only the agreed charge on the invoice.

ExtraCustomer approvalAgreed amountInvoice reference
[Additional waste removal][Date, person and message/work-order reference][Amount and tax basis][Invoice and line]
[Additional plants][Date, person and message/work-order reference][Amount and tax basis][Invoice and line]

A photograph can help explain the completed work; it is not automatically approval of a price. If the scope or charge is disputed, resolve the specific difference rather than treating a payment reminder as a substitute for agreement.

Keep supplier receipts and crew records internally. Your purchase cost, margin and wage calculation do not have to become the customer-facing rate. The invoice should reflect the agreement, not expose a cost sheet by accident.

Subject: Landscaping invoice [number] — [site/reference]

Hello [name],

The agreed landscaping work at [site] was completed on [date]. Your invoice is [number], for [total amount and currency], with [amount] remaining to pay by [agreed due date].

The invoice lists labour, materials and the additional work approved under [reference]. Any earlier payment is recorded against [reference].

You can view the invoice and pay here: [verified invoice link].

If a line does not match your understanding of the agreed work, please reply with the invoice number and the item you want us to check.

Thank you,

[Name and business]

Remove the earlier-payment sentence if it does not apply. Check the recipient and link before sending. Do not send payment-card information or ask the customer to email it.

Adapt the tax and identity fields to your location

Invoice requirements vary. As a UK example, GOV.UK lists invoice requirements, including identification, seller/customer details, supply and invoice dates, descriptions and amounts, with additional VAT requirements where applicable. That source is not a universal rule for every country.

For a Dutch business, use the Belastingdienst's invoice requirements. The euro example above does not establish a VAT rate, exemption or cross-border treatment. Complete the legal and tax details that apply to your business and customer.

Turn the completed template into a payable invoice

PayRequest invoicing lets you enter the customer and line items and send an invoice with a payment link. Transfer the agreed information from this template; verify the preview and amount due before issuing it. The plain-text file is not an automatic import or a built-in landscaping template.

Free includes basic invoicing at €0/month with a 2% standard payment fee. Premium is €5/month and Business €20/month; active paid plans remove the standard platform fee, while provider fees and commission-payment exceptions remain separate. Recurring automation is a different need from collecting this one completed job.

Check the provider for the actual invoice workflow. Current PayRequest provider documentation identifies Mollie for invoices and subscriptions and limits PayPal support to payment links. Do not assume every provider on a general payment page supports invoices.

Create a named-client invoice from the agreed work, check how earlier payments are recorded and send the customer one clear amount to pay. Keep your own record of the work and approval alongside it.

Editorial method: prepared with AI assistance; invoice, product and pricing sources reviewed on 7 November 2026. The template, amounts and approval register are original examples. No completed payment or customer result is claimed.
