Cancellation requests

A clear ending.
Or a better way to stay.

Give every subscription cancellation a clear date, a shared conversation and a choice. Manage notice periods and offer alternatives your customer can explicitly accept.

Your customer decides

An offer leaves the original cancellation in place until the customer accepts it.

From request to confirmation

Keep the subscription, customer conversation and agreed end date together.

  1. 01

    Customer submits a request

The customer selects their subscription, gives a reason and can add a message in the portal. A linked support request keeps the conversation in one place.

  2. 02

    PayRequest calculates the end date

Set notice in calendar months or days per product. The effective date is the latest of the notice period end, the next billing date and an explicit contract end. Calendar months take precedence when configured.

  3. 03

    Review and confirm the schedule

Open the cancellation in Requests, check invoices and linked services, then confirm the scheduled cancellation. Confirming a future date keeps the subscription active until that date.

  4. 04

Offer an alternative if it fits

Preview the terms, publish the proposal and notify the customer. The customer reviews the price, dates and consequences before accepting or declining.

  5. 05

    Send confirmations and finish

Scheduled cancellations are checked every five minutes. Customers receive confirmation of the agreed schedule and a later status confirmation when cancellation takes effect. External services can have separate processing times.

A useful alternative. An explicit choice.

For eligible active, single-quantity subscriptions billed by PayRequest, offer one of three alternatives directly in the request.

End earlier

Propose an earlier end date with clear consequences for future renewals, access and any data export.

Temporary discount

Offer 1–80% off for 1–12 billing periods. Show the first renewal, VAT basis and regular price after the discount.

Cheaper subscription

Propose a compatible product with the same currency, interval and VAT basis. Explain the service change and when the new price starts.

Available offers depend on the subscription. Provisioned services, provider-managed schedules and active payment retries are excluded. A cheaper plan does not automatically migrate a server, domain or VPN.

The cancellation stays until the customer chooses

Declining, ignoring or letting an offer expire preserves the original end date. Accepting an eligible discount or product switch withdraws the cancellation without adding a new minimum term. Only the customer can withdraw their cancellation; the business cannot reject it to keep billing.

Handle the details with care

Notice periods that match your product

Choose request mode with notice or immediate mode in the product settings. One calendar month is calculated as a calendar month, with the last valid day used where needed. The day-based default is 30 days.

An agreed earlier end

When an earlier end is already agreed directly, the account owner can review the consequences and end the subscription now with a confirmation. Future billing and retries stop; existing invoices and payments stay unchanged.

Domains and service access

A request can initiate disabling auto-renew on a linked domain. Check the registrar result and any external shutdown or export separately. If the customer stays, review whether renewal needs to be re-enabled.

Cancellation requests, explained

Can a business reject a customer’s cancellation?

No. The business can confirm the schedule or offer an eligible alternative. Withdrawing the cancellation requires the customer’s decision, including explicit acceptance of an eligible discount or product switch.

Does confirming a cancellation end the subscription immediately?

A future-dated scheduled cancellation remains active until its effective date. An agreed immediate end is a separate action with its own review and confirmation.

What happens to existing invoices and payments?

Cancellation does not erase issued invoices, reverse settled payments or automatically refund a customer. Review unpaid invoices and use the separate credit-note or refund workflow where appropriate.

What if the customer does not accept the offer?

The original cancellation date stays in place when an offer is declined, ignored, withdrawn or expires. Publishing an offer alone does not change the subscription.

Make every cancellation clear.

Keep the end date, conversation and customer decision together in PayRequest.
