A useful security-deposit email tells the guest exactly what to authorize, why it is required, when it must be completed, when the hold is expected to be released and where to get help. It should never imply that a card hold is the same as a completed charge.

Below is a four-message sequence for vacation rentals, hotels, vehicle hire and equipment rental. Replace every bracketed field and align the wording with your signed rental terms and local rules before sending.

The timing is an operating example, not a universal rule. Match it to the authorization window, cancellation policy and length of the rental. Do not authorize too early if the hold could expire before inspection.

Template 1: Initial Deposit Request

The message identifies the business, order, amount and purpose before asking the customer to click. Use a recognizable sending domain and the same seller name that appears at checkout.

Template 2: Deposit Reminder

Avoid invented urgency. State the real consequence of missing the deadline—such as delayed handover or cancellation—only if it is already disclosed in the agreement.

Template 3: Authorization Confirmation

Never promise the balance will reappear instantly. The merchant can release a hold, but the issuer determines how quickly the customer's available balance reflects it.

Template 4A: Full Release Notice

Template 4B: Proposed or Completed Partial Capture

Do not use Template 4B as automatic permission to charge. The agreement, evidence, card-network/provider rules and applicable law determine what action is permitted.

Variables to Store With Every Message

  • booking and customer reference;
  • asset or property identifier;
  • authorization amount, currency, status and expiry;
  • terms version accepted before authorization;
  • send, delivery and response timestamps;
  • inspection deadline and responsible team member;
  • release, capture or refund reference;
  • links to evidence supplied to the customer.
