The best DepositFix alternative depends on whether payments must update your CRM automatically. If forms, deals and post-payment automation are essential, compare an integrated CRM payment route first. If you need to send client invoices and get paid, a standalone billing platform may be enough, provided someone owns the CRM handoff.
This is a buying guide for agencies, consultants and service businesses reconsidering their collection software. DepositFix is not treated here as rental-security-deposit software; its product name is not a reason to assume that job.
Decide what you are replacing
DepositFix's HubSpot marketplace listing describes invoicing, collection and post-payment workflows inside HubSpot. A replacement that merely accepts a card has not necessarily replaced the workflow.
Start with one non-negotiable requirement: must successful payment, a later refund and an exception update the correct CRM record without manual re-entry? If yes, put that ahead of the headline subscription price.
| Route | Consider it when | What remains to verify |
|---|---|---|
| Keep DepositFix | Your integrated forms and payment workflows already meet the requirement | Current plan, gateway, total cost and any needed change |
| HubSpot's own payment tools | You want to evaluate commerce within the CRM | Merchant eligibility, payment processor, plan and workflow scope |
| Direct Stripe Payment Links | You primarily need hosted checkout using Stripe | Invoice needs, delivery and any separate CRM synchronization |
| PayRequest invoicing | You need client invoices, payment collection and a hosted billing workflow | Connected provider, plan and explicit ownership of any CRM updates |
HubSpot documents its payment-processing options. Stripe Payment Links are another hosted checkout route. Neither name alone establishes parity with your current HubSpot forms or automations. Obtain a demonstration using your actual required journey.
A 30-invoice example: put manual work into the quote
Suppose an agency issues thirty €200 invoices each month: twenty-four straightforward single payments, four invoices with a later balance and two with a disputed scope. These hypothetical groups are mutually exclusive. Gross issued invoice value is 30 × €200 = €6,000; it is not collected revenue.
| Group | Count | Evidence needed before selecting software |
|---|---|---|
| Single-payment work | 24 | Correct client, invoice, successful payment and CRM reference |
| Work with a later balance | 4 | Amount paid, remaining obligation and next collection responsibility |
| Scope dispute | 2 | Clear owner for the exception; no automatic assumption of successful collection |
| Total | 30 | Traceable obligations rather than only a checkout confirmation |
Now compare two operating models. Assume manual CRM recording takes three minutes per invoice, plus ten minutes for each of the six more involved cases. That is 30 × 3 + 6 × 10 = 150 minutes, or 2.5 hours/month. At an assumed internal cost of €40/hour, budget €100/month of manual work.
For an integrated route, assume fifteen minutes of reconciliation plus five minutes for each of those six exceptions: 45 minutes, or €30/month at the same rate. The hypothetical difference is €70/month. These are planning inputs, not measured DepositFix or PayRequest performance. Change them to match your business.
Your comparison becomes:
A tool with a lower subscription can lose its price advantage if it creates more manual work. A team without CRM automation requirements might sensibly accept that work and prefer simpler software. Do not add the €6,000 invoice total to a payment-fee calculation unless it was actually collected through the quoted route.
Request evidence using one sale and one refund
Ask each shortlisted provider to show how a successful payment is connected to the right client and record, how a later refund changes that record, and who handles a failed or unmatched update. Use a sample sale and refund agreed for a demonstration; this article does not claim that we ran those tests.
For staged work, ask whether the required payment schedule is supported and what remains manual. Do not assume that a repeatable payment link is a customer-specific invoice or an installment agreement.
DepositFix publishes several plans and gateways. Some public overage descriptions differ on the same pricing page, so this comparison deliberately avoids quoting a universal price. Ask for the applicable plan, processing route, revenue threshold, add-ons and refund terms in writing. Do the same for every alternative.
Where PayRequest is a realistic alternative
PayRequest invoicing fits service sellers who want to create client invoices and offer an online payment route. It can be evaluated as a standalone billing workflow, not as a promised native replacement for DepositFix's HubSpot synchronization.
For the thirty-invoice example, decide where the CRM reference lives and which employee records payments or exceptions. If an automatic HubSpot update is mandatory, verify a supported integration before buying; do not infer one from the existence of an invoice or API.
PayRequest plans currently include Free at €0/month with a 2% standard payment fee, Premium at €5/month and Business at €20/month. Active paid plans have 0% standard platform fees; provider fees and commission-payment exceptions are separate. Compare required features as well as payment charges. Account creation or choosing Business does not itself activate paid access.
If standalone invoicing meets your requirements, create an account and prepare one representative client invoice. Keep DepositFix or another integrated route on the shortlist when replacing CRM automation is the central buying job.
