Refundable Bond for Equipment Hire: Hold, Charge or Refund?

A refundable bond is security provided by a customer and returned when the agreed hire conditions are met, less any properly supported deductions. In equipment hire, it may be a collected payment or a temporary card authorization. State which one you use: money that was only reserved is released, while money already collected needs a refund.

This guide focuses on short-term AV, event and equipment hire, particularly businesses whose customers use the term hire bond. It does not describe investment bonds, surety products or a government tenancy-bond scheme. It gives you a wording checklist and settlement worksheet you can use with a hire agreement.

Is a refundable bond the same as a security deposit?

In a hire agreement, the two terms can describe the same security purpose. The label alone does not tell the customer whether money is charged, how long it remains unavailable or what deductions are allowed. Define the mechanism, amount, conditions and return process in the actual agreement.

Avoid describing a non-refundable booking payment as a refundable bond. Likewise, a bond does not automatically replace insurance, determine every liability limit or entitle you to charge its entire amount.

Card hold or collected bond: make the timing decision

A card hold can suit a short rental with a prompt return inspection because unused funds can be released without refunding a settled payment. It still reduces the customer's available funds while active. The actual authorization must remain valid until your capture decision.

A collected bond is a completed payment, with a separate refund obligation for the unused balance. It needs an appropriate provider-supported payment route and clear records. Do not assume a deposit-hold feature automatically provides bond accounting, safeguarded custody or legally required lodgement.

If your hire duration cannot fit the actual authorization window, agree a suitable alternative before dispatch. Do not present expiry as a refund or quietly replace it with another charge.

A refundable hire-bond policy checklist

Write a short explanation beside the price and attach the full terms. Include:

  1. Business identity, booking reference and equipment list.
  2. Bond amount and currency, separate from the hire fee.
  3. Whether funds are reserved or charged.
  4. Authorization or payment deadline and supported method.
  5. Return time, location and inspection responsibility.
  6. Defined events that can support a deduction and their cost basis.
  7. How existing damage, normal wear and missing accessories are assessed.
  8. When you initiate release or refund, and how you notify the customer.
  9. Contact details for a questioned deduction or delayed bank update.

These are drafting prompts, not a ready-made legal contract. Use terms that are appropriate for your jurisdiction and operation. Do not promise an instant bank refund or guarantee that an authorization will remain open for a fixed period regardless of provider approval.

Customer wording for a card-hold bond

Use this example only if it matches your agreement and actual process:

Refundable security bond: [amount and currency], provided as a temporary card hold. This is separate from the hire charge. We inspect the returned [equipment] by [date and time]. If there is no supported deduction under the hire terms, we release the hold. Any charge is itemized against the agreed terms and condition record. Your bank controls when the released funds become visibly available.

For a collected bond, replace that explanation with an accurate payment-and-refund description. Do not mix charged and reserved in the same message. Avoid the vague phrase “we refund automatically” unless you have verified the specific refund process you are promising.

A worked £500 AV-hire bond settlement

Assume a weekend speaker-and-lighting package with a £500 authorized hold. The signed inventory and return record support £60 for a missing cable set and £40 for an agreed, documented cleaning service. These are fictional amounts, not suggested tariffs.

If nothing is missing or damaged and no other supported charge exists, release all £500. If £500 was collected as a payment instead, the unused amount must follow your refund process. Those two accounting events are different even if both are called returning the bond.

Keep the evidence attached to the hire record

Use the same asset identifiers and photo angles at dispatch and return. Record the speaker serial numbers, cable counts, lighting fixtures, flight cases and agreed return condition. Keep the original records and the customer's communications, rather than relying on an undated damage photo.
